Manager, Time Tracking System Administration

Position Summary

The Manager will oversee administration of Alexion's project tracking application, Journyx, and will work across teams and functions to ensure cross-business alignment. Primary roles include maintaining system administration processes and procedures, maintaining and updating project data, leading system trainings, developing and distributing reports and managing communications. The Manager must have the business experience to effectively collaborate with executives to drive decision making related to the system.

This role will interact directly with senior level leaders in R&D, IT, Finance, HR, and Tax to solve problems, drive change and implement solutions.

Principal Responsibilities

  • System Administration
  • Provide system security access to new hires and coordinate security access provision to functions that are newly added to the Journyx system
  • Manage system upgrades and / or enhancements
  • Maintain employee and manager processes / procedures (e.g. enter project time, approve project time, run report, etc.)
  • Provide input into upstream and / or downstream processes (as needed)
  • Maintain system administration processes and procedures
  • Mobile (smartphone) application support
  • Support for cloud-based, SaaS, applications
  • Vendor management of external partner (Journyx)

  • Data Maintenance & Data Governance
  • Maintain / update project data: capability, drug, compound, disease, indication, study, activity, Internal Order (IO) coding, phase, etc.
  • Provide input into HR and / or Finance data governance
  • Work with business lines to establish clear data ownership and data stewardship
  • Work with IT to map data flow and create the data dictionary; keep these current and correct
  • Ensure accurate data flow between HR, R&D, Tax, and Finance systems (e.g. SuccessFactors, Journyx, SAP, BPC/Anaplan, etc.), in partnership with IT
  • Work with data consumers to ensure consumed data is fit for purpose.

  • Reporting Generation & Management
  • Generate and distribute reports as needed / requested by the business (e.g., compliance by business line or team, cross-company charges, etc.)
  • Develop and deliver insights regarding ongoing project tracking compliance and R&D resource utilization to enable ongoing decision-making and further enhance compliance
  • Work with business partners (e.g., R&D, Finance, Tax, HR, capacity planning) to identify and implement improvements that will enhance project tracking reporting

  • Training & Communications
  • Develop, implement, and continually enhance training processes, tools, and materials for onboarding new colleagues (e.g., online self-service training materials, FAQs, etc.)
  • Conduct training sessions
  • Support expansion of project tracking utilization across the enterprise (e.g., Commercial, Global Operations, etc.) through additional and tailored trainings and communications
  • Drive efforts to increase the understanding of the importance, impact, and process of project tracking across the enterprise
  • Attend project management meetings to provide leadership insights and updates regarding project tracking data maintenance, reporting, training, and onboarding
  • Address employee and manager questions and issues via email, Zoom, office hours, and phone, ensuring swift follow-up and issue resolution

Organizational Relationships

  • Reports to Executive Director, SPPM Portfolio Management & Operations
  • Strong partnership with Project Managers, Finance, Team Leaders, Functional Line Leaders, R&D, IT, HR, and Tax

Qualifications

  • 5+ years of experience in a software application management role, preferably in project management
  • Demonstrated ability to develop strong partnerships to successfully operate in a highly matrix-based organization while balancing the needs of multiple stakeholders
  • Demonstrated ability to develop and deliver easy to understand trainings to a wide variety of audiences, including system administrators, managers, and system end-users
  • Detail-oriented and independently motivated
  • Track record of achievement and delivering individual and team goals
  • Flexibility to be present for project meetings and on-site trainings
  • Experience with the Pharmaceutical industry and / or the R&D function is preferred

Education

  • Minimum of a bachelor's degree in technical discipline or business / finance
  • Post-graduate degree is preferred
