Responsibilities:
Responsible for providing a high level of administrative support in a clinical environment. This position will oversee and coordinate all aspects of clinical administrative support within these areas and its inter-relationship with all other offices and areas in the Department. Assumes responsibility for tasks which support clinical providers, and patients thereby resulting in efficient, high quality care; tasks include but are not limited to:
Prepares and distributes all documents related to patient care by various modes.
Provides general communication in a clinical environment to clients and prioritizes urgent requests for resolution in a timely and expeditious manner to the appropriate responsible faculty or fellow
Screens and prioritizes incoming clinical correspondence, phone calls, and visitors.
Identifies and resolves administrative problems and issues related to clinical matters.
Develops and recommends clinical administrative support processes/procedures to assure efficiency.
Interprets and communicates clinical operating policies.
Picks up and delivers clinical materials as requested.
Scans clinical specimen paperwork and slides in accordance with clinical protocol.
Researches and assembles materials for clinical presentations.
Assists with preparation of tumor board and other clinical conference (eg., liver conference) materials.
Maintains clinical records through filing, retrieval, retention, storage, compilation, updating and destruction.
Establishes and maintains an organized filing system according to office procedures to ensure the expeditious retrieval of clinical information.
In collaboration with Faculty Support Administrative Assistant(s), coordinates and assists with planning of special projects and events related to clinical areas of interest, as directed by faculty.
Serves as a general resource for all direct inquiries from a wide variety of constituents including providing information on Clinical Support Services-related activities, policies, and procedures.
Locates and compiles information and formats reports, graphs, tables, records and other sources of information as it relates to clinical information.
Creates and maintains spreadsheets related to clinical quality and patient safety projects and data utilizing appropriate software applications.
Acts as a liaison between patients, families, referring providers and outside institutions to ensure exceptional patient care.
Provides follow-up and coordination of clinical case management across all functions as a liaison between Hospitalist providers, community physicians, and agencies.
Collaborates with physician liaisons to establish relationships and ensure ongoing dialogue regarding patient referrals and needs.
Functions as a resource for patients and physicians requiring coordination of services.
Contacts and collaborates with referring hospitals, healthcare facilities, and providers to gather necessary information required to facilitate all associated administrative aspects related to specimen handling, requests for additional materials, case management resolution and process, inpatient and outpatient care.
Coordinates the flow and communication of PHI under HIPAA guidelines to the appropriate provider.
Assures all necessary information is documented and communicated to members of the healthcare team.
Other duties as required.
Oversees and coordinates administrative, program, and office activities directly related to clinical operations. Establishes, selects, implements, and coordinates office procedures and systems. - Serves as principal source of information to staff, and faculty on policies, procedures, programs, and office activities as it relates to clinical matters.
Oversees, instructs, and coordinates activities of support staff. - Oversees the preparation of materials for grants, contracts and budgets. Monitors expenditures and reconciles financial statements.
Provides editorial support for a journal/publication. - Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work.
Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences. - Assembles and arranges for necessary items. - Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes reports or portions of reports.
Greets visitors. Answers and screens telephone calls. Assesses nature of business. Responds to requests for information and provides assistance. - Screens and responds to mail.
Formats, keyboard, proofread, and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures. - Composes substantive correspondence and written material.
Coordinates travel arrangements. - Schedules and coordinates meetings and appointments. - Orders and maintains inventory of supplies. - Takes minutes or dictation. - Performs additional functions incidental to office activities.
Requirements:
Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
Demonstrated ability providing high level administrative support in a clinical setting. Outstanding interpersonal skills and ability to communicate with various and diverse populations. Outstanding writing skills and ability to communicate in a clear and concise manner.
Demonstrated ability to prioritize and multi-task in an extremely fast-paced environment. Proven ability to screen and prioritize incoming correspondence; including phones and visitors.
Advanced proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
Experience working in a Laboratory or Clinical environment; excellent focus and attention to detail skills.
Demonstrated proficiency with medical terminology and HIPAA guidelines.
