Office Manager for Small Estate Planning Law Firm
We are seeking an experienced Office Manager to join our small
Estate Planning Law Firm. As the Office Manager, you will be
responsible for managing the day-to-day operations of our office
and ensuring that it runs smoothly and efficiently. You will work
closely with our attorneys and staff to provide administrative
support and coordinate client interactions.

Manager will report directly to the managing attorney of the law
firm.
Key Performance Indicators:
--- Client Satisfaction: Ensure that clients are satisfied with the
quality of services provided by the firm, the responsiveness of the
staff, and overall experience.
--- Staff Productivity: Monitor staff productivity by tracking
metrics such as the number of appointments scheduled, documents
prepared, and emails responded to per day.
--- Financial Performance: Ensure that the office is profitable and
that financial targets are being met by tracking metrics such as
the number of new clients acquired, revenue generated, and expenses
incurred.
--- Compliance: Ensure that the office is operating legally and
ethically by adhering to legal and regulatory requirements.
--- Office Maintenance: Ensure that the office environment is safe,
functional, and conducive to productivity by tracking metrics such
as the number of maintenance requests fulfilled and response times
for office repairs.
--- Employee Engagement: Ensure that staff are motivated and
committed to their work by tracking metrics such as staff turnover,
employee satisfaction surveys, and feedback from performance
reviews.
Responsibilities:
--- Manage the day-to-day operations of the law firm, including
overseeing administrative tasks, such as scheduling appointments,
managing files, and responding to client inquiries.
--- Supervise and manage staff, including training, performance
management, and maintaining employee records.
--- Coordinate client interactions, such as scheduling appointments
and ensuring client needs are met in a timely and professional
manner.
--- Oversee and maintain the office's financial records and budget,
including invoicing and billing clients, tracking expenses, and
managing payroll.
--- Develop and maintain relationships with vendors, such as office
supply providers and maintenance contractors, to ensure the office
has the necessary resources to function smoothly.
--- Assist the attorneys with their work by providing
administrative support, such as drafting correspondence, conducting
research, and preparing legal documents.
--- Ensure the office is compliant with all legal and regulatory
requirements, such as data privacy and employment law.
--- Maintain a safe and healthy work environment by implementing
and adhering to office policies and procedures.
Qualifications:
--- Bachelor's degree in business administration or a related
field.
--- At least 3 years of experience in an office management role,
preferably in a law firm or other professional services
environment.
--- Strong organizational and communication skills.
--- Excellent interpersonal skills, with the ability to build and
maintain positive relationships with staff, clients, and
vendors.
--- Knowledge of legal and regulatory requirements for operating a
law firm.
--- Proficiency with office software, such as Microsoft Office and
case management software.
--- Demonstrated ability to manage multiple tasks and priorities,
and adapt to changing circumstances.
--- Strong problem-solving skills and ability to make decisions
independently.
--- Attention to detail and commitment to quality and accuracy.
